What This Feature Does
When a job is finalised but has not yet been invoiced, MyApprentice marks it as Ready to be invoiced. This label appears on the Invoices page next to the invoice, on the Dashboard, and in the Needs Your Attention panel — making it easy to pick up jobs that still need to be billed.
This is the bridge between Job completion and Invoice sent. If your business uses the Invoice & complete path, an invoice draft is pre-filled from the quote at the moment the job is finalised. If your business completes first and invoices later, the Ready to be invoiced call-out keeps the job visible until an invoice is raised and sent.
Who Uses This Feature
Business Owner, Sole Trader, Admin (where role permissions allow), and Finance. The follow-up surfaces wherever the role has access to Jobs, Invoices, and the Dashboard attention items.
When To Use It
- You completed a job but did not invoice it at the same time.
- You start the day and want to see what is awaiting billing.
- A job is finalised and the invoice draft has been pre-filled but not yet sent.
- You need to confirm that every completed job has either an invoice in progress or has been intentionally left for later.
How It Works
- When a job is marked complete, the invoice is pre-filled from the linked quote.
- If the business is connected to Xero, the pre-filled invoice is ready to be sent and synced from Xero.
- If the business is not connected to Xero, the user is prompted to email the client directly from job completion with the invoice details pre-filled.
- Any completed job that has not yet had its invoice sent is labelled Ready to be invoiced on the Invoices page.
- The same job is called out:
- On the Dashboard so it is visible at log-in.
- In Needs Your Attention so it can be actioned without searching.
- Once the invoice is sent (or the job is intentionally parked), the call-out clears.

Notes and Limitations
- “Ready to be invoiced” is the confirmed UI label — confirm the exact rendering location and wording in the live app before publishing customer-facing content.
- The pre-fill behaviour at job completion is confirmed in the master guide.
