Who this guide is for
Business Owners and Admin users. Sole Traders run alone and do not invite team members — if you have grown into a team business, contact MyApprentice support to switch your business mode.
Overview
How to invite a Supervisor, Admin, Finance, Tradie, or Apprentice to your business — including seat-cap and MFA prerequisites and what happens once they accept.
Before you start
MFA must be set up on your account — see Set Up MFA on Your Account. Have the new user’s email, first name, last name, and the role you want them to hold. Check seat availability on the Subscription tab — if you are at your seat cap you need to free a seat or upgrade first.
Steps
- In the left sidebar, select Users.
- Select Invite User in the top right.
- Complete the MFA prompt.
- Enter the user’s email address, first name, and last name.
- Select the role: Supervisor, Admin, Finance, Tradie, or Apprentice.
- Select Send invitation.
What happens next
The invitation appears under Pending Invites on the Users page until the user accepts. The new user receives an email, accepts, sets their password, completes their own MFA setup, and lands on a role-based dashboard. Once accepted, the user counts as one active seat. Pending invitations do not consume a seat — only active (accepted) users count against your seat cap.
