  • The Foreman · Supervisors

Who this guide is for

Business Owners, Sole Traders, Supervisors, and Admin. Finance, Tradie, and Apprentice cannot finalise a job.

Overview

Close out a job once all the work is done so it moves to Ready to be invoiced and is ready for invoicing.

Before you start

All assigned shifts on the job must be marked complete before you can finalise the job. Also confirm photos are uploaded, materials usage is captured, and any open Job To-Do’s are resolved.

Steps

  1. In the left sidebar, select Jobs.
  2. Find the job ready for completion (use the status filter or search).
  3. Open the job and review the internal notes, photos, materials used, linked quotes, and shift records.
  4. If the job has linked quotes that have not yet been invoiced, MyApprentice opens the Uninvoiced quotes dialog. Choose the completion path:
    • Invoice & complete — finalise the job and create the invoice in one step.
    • Complete without invoicing — finalise the job now and raise the invoice afterwards from the Invoices page.
  5. Select Mark complete (or the equivalent button).
  6. Confirm material usage and any other final review questions presented.

What happens next

The job status updates to Completed (shown to the client in the Client Portal as Completed) and moves to Ready to be invoiced. The job drops out of the default Jobs list (use the status filter to see Completed jobs). The next action is invoicing — see Create Your First Invoice. If you need to reopen a completed job, edit its status back to an active status.

Create Your First Invoice, Push an invoice to Xero, Add Job To-Do’s and Internal Notes.
