Add Internal Instructions to a Shift

Overview

How to add Shift To-Do’s, internal notes, and shift-level instructions for the worker assigned to a shift — across the three places the same dialog can be opened.

Who This Is For

Business Owner, Sole Trader, Admin, and Supervisor. Tradies and Apprentices can view and complete instructions on shifts assigned to them but cannot create them.

Sole Trader note: Sole Traders use the same pathways below to add instructions to their own scheduled shifts.

Before You Start

  • The shift you are guiding must already exist.
  • Pick the right surface for what you’re adding:
    • Use Shift To-Do’s for visit-specific tasks the worker should tick off.
    • Use Internal Notes (added on the Job card, not the shift) for free-text information that applies to the whole job — for example access codes or site warnings.
    • For shift-level free-text notes, open the shift and use the Notes field.

Steps

There are three places you can add shift instructions. All three open the same shift detail and save in the same place.

Pathway 1 — From the Dashboard

  1. Open the Dashboard.
  2. Select View Job on the relevant schedule row.
  3. Scroll to the scheduled shift section.
  4. Select the scheduled shift box to open the shift dialogue.
  5. Scroll to Shift To-Do’s and select Add.
  6. Type the shift instruction or task.
  7. Select Save.
  8. Close the job card.

Pathway 2 — From the Schedule page

  1. Open Schedule from the sidebar.
  2. Switch to Week view if needed and locate the shift.
  3. Select the shift to open the sidebar.
  4. Scroll to Shift To-Do’s and select Add.
  5. Type the instruction or task.
  6. Select Save.

Pathway 3 — From the Jobs page

  1. Open Jobs from the sidebar and select the relevant job.
  2. Scroll to the schedule section on the job card.
  3. Select the scheduled shift that needs instructions.
  4. Scroll to Shift To-Do’s and select Add.
  5. Type the instruction.
  6. (Optional) Select Remove next to any Shift To-Do that is no longer required.
  7. Select Save.

What Happens Next

The instruction is saved against the selected shift. The assigned worker sees it in the shift details when they open the shift card. Instructions stay internal to the team and to permitted reviewers — they are not shared with clients unless explicitly chosen elsewhere.
