Link Multiple Quotes to One Job

Overview

How to attach more than one quote to a single job so all approved scope is invoiced together at completion.

Who This Is For

Business Owner, Sole Trader, Admin, and Supervisor.

Before You Start

  • The original job already exists in MyApprentice.
  • You need to attach an additional quote to that job (for example, a variation, extra work, or a separately priced stage).

Steps

Pathway 1 — Create a new additional quote from the job

Use this when the extra work has not been quoted yet.

  1. Select Jobs in the sidebar.
  2. Search by job title, job number, client, or address.
  3. Open the job card.
  4. Select Edit Job.
  5. On the job card, scroll to the Quotes & Invoices section (which lists existing linked quotes), then select Create New Quote at the top of that section.
  6. Confirm or update the client details that pre-fill from the job.
  7. Add labour, materials, or service line items for the additional work.
  8. Review the subtotal, GST, and total.
  9. Select Save and Send.
  10. Review the email draft (recipient, subject, body, and quote attachment) and select Send.
  11. Repeat from step 5 if a further quote is required against the same job.
  12. Select Save on the job to confirm.

Pathway 2 — Link an existing quote to the job

Use this when the additional quote was already created separately.

  1. Open the existing quote that needs to be linked.
  2. Use the link to job option on the quote and select the original job.
  3. Save the link.
  4. Return to the job card and confirm the additional quote is now listed.

What Happens Next

The Quotes & Invoices page shows the linked-quote count for the job — for example 1/2 means one of the two quotes attached to this job has been invoiced; 2/2 means all attached quotes have been invoiced. Hover the counter for the breakdown. All linked quotes remain tied to the original job for reporting and invoicing.
