Overview

Your quote and invoice logo is the image that appears at the top of every quote PDF and invoice PDF you send to clients. It is uploaded once on the Sales tab of Business Settings and then applies to every document going forward. A correct logo makes your quotes and invoices look professional and consistent.

Before You Start

Have a logo file ready in a common image format (PNG with a transparent background works well). A high-resolution version produces the cleanest PDF; very small or blurry logos look poor on the printed quote or invoice. If you also want to set a different sidebar or mobile logo for the in-app experience, those are on the Site tab and can be uploaded separately.

Step-by-Step Process

  1. In the left sidebar under ADMIN, select Business Settings.
  2. Open the Sales tab.
  3. In the Quote & invoice logo section, select Add file.
  4. Browse to your logo file, select it, and select Open. The logo uploads.
  5. Confirm the preview shows the logo correctly. Replace the file if the preview looks wrong.
  6. Select Save to apply the logo to all quote and invoice templates.

What Happens Next

The next quote PDF and invoice PDF you generate include your logo at the top. Quote and invoice PDFs for documents that were already produced before the upload will continue to show whatever logo they had at the time — generate a fresh PDF if you need the new logo on an existing document.

If you also want to change the in-app sidebar or mobile-browser logo your team sees inside MyApprentice, switch to the Site tab and upload those there.

Common Issues

  • Logo too big or distorted on the PDF. Re-upload a higher-resolution version, ideally with the longest edge around 1000 px and a transparent background.
  • Old logo still appears on a sent invoice. Sent documents keep the branding they had at the time of sending. Generate a new PDF of the existing invoice to refresh the logo, or send a corrected invoice if needed.
  • Upload fails. Confirm the file is a standard image format (PNG or JPG) and not unusually large. Try a different browser if the upload still fails.
  • No logo file yet. A quote or invoice can still be sent without a logo — your business details, payment terms, and totals all print regardless.
