Enable the Client Portal

Overview

Switch the Client Portal on so every new quote includes a personalised link the client can use to view and accept the quote online, track job progress, and view invoices — no login required for them.

Before you start

Your business profile, logo, and payment methods should already be set. Decide whether to also show your licences and qualifications on portal quotes.

Steps

  1. Open Business Settings → Site tab.
  2. There are two related toggles on this tab: Client Portal (controls whether clients can access the portal at all) and Client Sharing (controls whether per-photo and per-record share-with-client toggles appear elsewhere in MyApprentice). Toggle Client Portal to ON and save. Confirm you have toggled the Client Portal toggle, not the public enquiry form toggle.
  3. (Optional) On each licence record, tick Show on client portal quotes for the licences you want clients to see.

What happens next

Every new quote you send includes a View and Accept Quote link in the client notification email. When an accepted quote is converted to a job and the schedule (date and time) is set, MyApprentice presents a Share with client prompt offering selected items (quote, job details, photos with the per-photo Share with Client toggle on) to share with the client — choose what to share and confirm.

⚠️ Disabling the portal mid-job IMMEDIATELY removes all client access. Clients can no longer view quotes, jobs, invoices, or messages. Pending portal-acceptance stops working. If you must turn the portal off during active work, coordinate with the client by phone or email first.
