Overview
The public enquiry form is a branded, shareable web form unique to your business. Anyone with the link can submit an enquiry — no login required — and the submission lands in the Enquiries section of your sidebar for you to review and action. Setting it up means turning the form on, confirming the field set you offer to clients, and grabbing the URL to share. Success looks like a live form URL that you can paste into a website, social profile, or email signature.
Who This Workflow Is For
This workflow applies to Admin, Business Owner, and Sole Trader.
Before You Start
Decide what services you want to offer through the form (these populate the Service dropdown options the client picks from). Have your business profile already completed so the form is branded correctly — see Complete your business profile.
Step-by-Step Process
- In the left sidebar under ADMIN, select Business Settings.
- Open the Site tab. Scroll to the Public Enquiry Form section.
- Toggle the public enquiry form on if it is not already. The form is now active and accessible at its public URL.
- Review the field set the form will present to clients:
- When needed — Flexible, ASAP, Urgent, Next few days, Next few weeks, Next few months.
- Project type — Residential, Commercial.
- Work type — Installation, Renovations, New build, Repairs, Other.
- Service — populated with your trade-specific service options.
- Job stage — Ready to hire, Planning and budgeting.
- Description — free-text “Describe what you need done”.
- Photos — clients can attach photos with their submission.
- Confirm or adjust the Service dropdown options so they match what your business actually offers.
- Select Save to apply the settings.
- Still on the Site tab, select Copy URL next to the enquiry form. The full public URL is copied to your clipboard. The URL follows the pattern
/portal/{businessPublicId}/enquiryappended to the MyApprentice host — the Copy URL button always produces the correct full address for your deployment.
What Happens Next
The form is live. Anyone with the link can submit. To get the link in front of clients, see Share or embed the enquiry form. When a client submits, the enquiry arrives in the Enquiries sidebar with status New and surfaces in dashboard attention items for the Business Owner, Supervisor, and Finance. From there, see Review and action an enquiry.
Common Issues
- Cannot find Copy URL. Confirm you are on the Site tab in Business Settings and the public enquiry form toggle is on — the Copy URL button only appears when the form is enabled.
- Form URL does not load. Test by pasting the copied URL into a private/incognito browser window. If the page does not load, confirm the toggle is on and re-copy the URL.
- Service options do not match the business. Update them on the Site tab and select Save. The form picks up the new options immediately.
- Want to disable the form temporarily. Toggle the public enquiry form off in the Site tab. The URL stops accepting submissions until you toggle it back on. No data is lost.
