Who can do this?
Overview
The Customisation page lets each user shape their own MyApprentice experience: which Quick Action tiles appear on the dashboard, any external links you want as Custom Tiles, theme and font preferences, and your security settings.
Who uses this feature
All users. Each user configures their own settings — changes do not affect other team members.
When to use this feature
- Any time you want to add, remove, or reorder dashboard shortcuts.
- When you want to add a link to an external tool (for example, a supplier portal) on your dashboard.
- When you want to switch the platform to dark mode or change the accent colour or font size.
- When you want to manage your MFA methods.
What you can do with this feature
- Configure Quick Actions — toggle which one-click shortcuts appear on your dashboard.
- Add Custom Tiles — your own labelled tiles that open external URLs in a new browser tab.
- Configure Display — theme (Light, Dark, System), primary colour (Blue, Teal, Emerald, Amber, Rose, Slate), and font size (Small, Medium, Large).
- Manage Security — passkeys, authenticator apps, phone approval, and registered devices.
How the feature works
- Select the gear icon (⚙) in the top-right of the dashboard.
- The Customisation page opens. The page subtitle reads Manage your quick actions and display preferences.
- Choose the tab you need.
Configure Quick Actions
- Select the Quick Actions tab.
- The actions available to you depend on your role.
- Tick the actions you want on your dashboard. Untick to remove.
- Select Save actions at the bottom right.
Common Quick Actions include Create Job, Create Quote, Assign Shift, Create Invoice, Add Client, Add Material, Upload Supplier Invoice, Add Item, Stock Transaction, Invite User, Xero, and Timesheets. Each Quick Action opens the relevant page — nothing is created until you submit the underlying form.
Add a Custom Tile
- Select the Custom Tiles tab.
- Enter a label (for example, “Supplier Portal”).
- Enter the URL (starting with https://).
- Select Add custom tile.
- Select Save actions.
- The tile appears on your dashboard and opens its URL in a new browser tab when clicked.
- To remove a tile, select Remove next to it and Save actions.
Configure Display
- Select the Display tab.
- Choose your theme (Light, Dark, or System — System follows your device setting).
- Choose your primary colour from the dropdown.
- Choose your font size.
- Select Save display.
Security tab
Open the Security tab to manage your MFA methods. You can set up a passkey (recommended), an authenticator app, or phone approval; rename or remove registered devices; and add additional passkeys for new devices. Business Owners and Supervisors are asked to re-verify MFA more often than other roles — this is intentional for privileged accounts. Role-specific notes
All Quick Action tiles are visible to all roles. “Yes” in the table below means the user can complete the action on the destination page; “No” means the destination page will show a permission restriction when they open it.
