Overview

The dashboard’s Quick Actions strip gives you one-click shortcuts to common tasks — Create Quote, Create Job, Create Invoice, Assign Shift, and others. You can toggle these on or off and also add Custom Tiles that open external URLs in a new browser tab — supplier portals, manufacturer catalogues, council site links, or any other website you use often. Custom Tile URLs must start with https://. Quick Action settings are per-user, so your dashboard layout is your own.

Before You Start

Decide which standard Quick Actions you want visible. If you plan to add Custom Tiles, have the destination URL ready — this can be a page inside MyApprentice or an external website you use often (for example a supplier order portal).

Step-by-Step Process

  1. Select the gear icon (⚙) in the top-right corner of the header. The Customisation page opens.
  2. Open the Quick Actions tab.
  3. Use the toggles to enable or disable each standard Quick Action — Create Job, Create Quote, Assign Shift, Create Invoice, Add Client, Add Material, Upload Supplier Invoice, Add Item, Stock Transaction, Invite User, Xero, and Timesheets.
  4. Select Save actions. The Quick Actions strip on your dashboard updates immediately.
  5. To add a Custom Tile:
    • Open the Custom Tiles tab on the Customisation page.
    • Select Add custom tile.
    • Enter a tile name — this is the label that appears on the dashboard.
    • Enter the destination URL. The URL must begin with https:// — for example https://supplier.com.au/orders. The tile opens in a new browser tab when selected.
    • Select Save actions. The custom tile appears in your Quick Actions strip alongside the standard tiles.
  6. To configure display preferences (theme, primary colour, font size), open the Display tab on the Customisation page, choose your options, and select Save display.

What Happens Next

Your dashboard now reflects the shortcuts you chose. Quick Action tiles are visible to every role — they are not hidden by role — but selecting an action you cannot perform will surface a restriction message when you open it. If your business is in a read-only state (for example because a trial has expired), Quick Action creation tiles will not let you proceed until the plan is upgraded.

Common Issues

  • Cannot find the gear icon. It sits in the top-right corner of the header next to the search bar. If you do not see it, refresh the browser.
  • Custom tile URL does not open. Check the URL is complete and uses the https:// prefix. Test the URL in a new browser tab to make sure it loads.
  • Other team members see different tiles. Quick Action and Custom Tile settings are per-user. Each team member configures their own dashboard.
  • Quick Action button does nothing. Quick Actions only navigate you to the relevant create page — they do not create a record on their own. Complete the form on the destination page to actually create the record.
