Overview
Deleted records in MyApprentice are kept and can be restored from the Deleted Items sub-page of Document History. All restorable object types are supported — Jobs, Schedules, Clients, Suppliers, Quotes, Invoices, Materials, Categories, Items, Inventory, and Users. Use this when something was deleted in error or you need to bring an old record back into normal use.
Who This Workflow Is For
This workflow applies to Business Owner and Sole Trader.
Before You Start
Identify what was deleted (object type, title, the user who deleted it, the rough date). Restoring a user that would push your active users over the seat cap is blocked — free a seat or upgrade your plan first if needed.
Step-by-Step Process
- In the left sidebar, select Document History.
- Select Deleted Items at the top right of the page. The Deleted Items page opens with the message: “Restorable records deleted by users. These records are excluded from all normal screens and calculations.”
- Filter by Object to narrow the list — options include All, Jobs, Schedules, Clients, Suppliers, Quotes, Invoices, Materials, Categories, Items, Inventory, and Users.
- Use the search to find a specific record by title, object, deleted-by, or other key fields.
- Sort using the Sort dropdown if needed. The default sort is Deleted Date (Newest).
- Review the columns: Object, Deleted Date, Deleted By, and Key Fields for each record.
- Select the record you want to restore, then select Restore.
- A restore confirmation pop-out names the object to be restored. Select to confirm. The record is restored and returns to normal lists, calculations, and screens.
What Happens Next
The restored record is now active. Linked relationships return where they previously existed (for example a restored client re-attaches to its quotes, jobs, invoices, and enquiries — those records show the client name again). A restored user re-appears in the Users list and consumes one seat against your plan; they may need to use Forgot password at next login.
If you restored an invoice or quote, the document number, sent versions, and customer link are all preserved.
Common Issues
- Cannot find the record in Deleted Items. Confirm the object filter is set to All or to the correct object type. Confirm the deletion actually happened (Document History shows a Deleted activity row).
- Restore blocked when restoring a user. Restoring a user that would push the active user count over the seat cap is blocked. Free a seat by deleting an inactive user, or upgrade the plan via Manage Plan, then retry the restore.
- Restored record’s linked details look stale. A restored client re-attaches its linked records but those records show the details that existed at the time. Update the relevant records directly if needed.
- Want to permanently remove a deleted record. MyApprentice’s platform term is delete and deleted records are kept and restorable. There is no separate “permanent delete” path in this round.
