Delete a client

Overview

Deleting a client removes the client record from the active Client Library — useful for duplicates, test records, or clients you no longer work with. Linked quotes, jobs, invoices, and enquiries remain in place without the client attached, and the deleted client record can be restored from Document History if it was deleted in error.

Who This Workflow Is For

This workflow applies to Admin and Business Owner.

Before You Start

Confirm you actually want to delete — if the client has live quotes, jobs, or invoices you usually want to keep the record. Delete is most useful for clear duplicates or test records. If the client has been re-named or merged, edit the client instead of deleting.

Step-by-Step Process

  1. In the left sidebar, select Clients.
  2. Find the client:
    • Use the search bar to filter by name, contact, email, phone, or address.
    • Or browse the table.
  3. Select the client to open their record.
  4. Select Delete. A confirmation window appears.
  5. Review the warning. If the client has existing quotes and jobs, MyApprentice surfaces a warning so you can review before proceeding.
  6. Choose:
    • Delete — confirm the deletion. The client record is removed and the client no longer appears in active lists. Linked records (quotes, jobs, invoices, enquiries) remain in place without the client attached.
    • Cancel — abort the deletion. No changes are made.

What Happens Next

The client drops out of the Client Library. Linked quotes, jobs, invoices, and enquiries stay where they are but no longer show the client name — they appear unattached. If you need to restore the client, use Document History — see Restore a deleted record. Restoring re-links the client record and the related records show the client name again.

Common Issues

  • Linked records lost their client name. When a client is deleted, linked records remain without the client attached. Restore the client from Document History to re-link.
  • Accidentally deleted. Open Document History and restore the client record. See Restore a deleted record.
  • Cannot delete. Confirm your role — only Business Owner and Admin can delete clients. Supervisor, Finance, Tradie, and Apprentice cannot.
  • Want to keep the record but stop working with the client. Leave the record in place — there is no “archived” state. Simply do not create new quotes for them. The platform term is delete, and deleted records are kept and can be restored.
