Overview

Every quote, job, and invoice in MyApprentice is tied to a client record. Creating clients up front — or inline as you build the first quote for them — means client details flow correctly onto quotes, invoices, scheduling, and the Client Portal. This article covers creating a client from the Client Library and the inline path when you start a quote for a customer who does not exist yet.

Who This Workflow Is For

This workflow applies to Admin and Business Owner.

Before You Start

Have the client’s details ready: client or business name, contact name (if there is a person you deal with), email, phone, and site or billing address. Email and phone are recommended — they are used for quote and invoice delivery and for site coordination.

Step-by-Step Process

  1. In the left sidebar, select Clients. The Client Library opens.
  2. Select Add Client. The Add Client form opens.
  3. Fill in the client fields:
    • Client name / business name (required) — the main client record name.
    • Contact name (optional) — the person you usually deal with.
    • Email address (recommended) — used for quote, invoice, and client communications.
    • Phone number (recommended) — used for customer contact and job coordination.
    • Address (recommended) — used for site location, scheduling, quotes, jobs, and invoices.
    • Additional notes or details (optional) — captures any extra client-specific information where shown.
  4. Select Save. The client record is created and appears in the Client Library.

Inline client creation while quoting

  1. Start a new quote and, in the Client name field, type a name MyApprentice does not recognise.
  2. Enter the client’s email, phone, and site address on the quote form.
  3. Build and send the quote — the inline-created client becomes a permanent record in the Client Library once the quote is sent.

What Happens Next

The new client appears in the Client Library and is available when you create quotes, jobs, invoices, or schedule shifts. You can now:

Common Issues

  • Cannot find the new client when quoting. Confirm the record was saved — open the Client Library and search for the name. Inline-created clients only become permanent records once the quote is sent.
  • Duplicate client. Before creating, search the Client Library by name, email, phone, or address to check whether the client already exists.
  • Quote sent to wrong email. Re-open the client record, edit the email address, and save. Then resend the quote.
  • Tradie or Apprentice cannot see a client. Tradies see clients only via jobs they are assigned to. Apprentices see clients linked to assigned jobs as well. Assign them to a relevant job first.
