Overview
How to schedule a return visit on an existing job, or create a standalone follow-up shift from the schedule board.
Who This Is For
Business Owner, Sole Trader, Admin, and Supervisor.
Before You Start
- The original job must already exist if you are linking the follow-up visit to a job. Follow-up visits not tied to a job can be created directly from the schedule.
- Decide whether to schedule from the Jobs page, the Dashboard, or the calendar/Schedule view.
Steps
Pathway 1 — Schedule the follow-up from the Jobs page
- Select Jobs in the sidebar.
- Search for and open the job that needs a follow-up.
- Scroll to Schedule.
- Select Add.
- Use Fast Schedule to set the date, start time, and end time.
- (Optional, recommended for return visits) Select Add Shift To-Do’s and type the follow-up tasks — for example “Install replacement valve” or “Confirm with client on arrival”.
- Select Confirm Shift.
- Close the job card.
Pathway 2 — Schedule the follow-up from the Dashboard
- Open the Dashboard.
- Open the relevant job card.
- In the schedule call-out, select Add.
- Use Fast Schedule to set the date, start time, and end time.
- (Optional) Add Shift To-Do’s.
- Select Confirm Shift.
Pathway 3 — Follow-up not tied to a job
If the follow-up visit is not tied to an existing job, create the shift directly from the Schedule (calendar) view:
- Open the Schedule page from the sidebar.
- Select New Shift (or click an open time slot on the calendar).
- Enter the date, start time, and end time.
- Set the shift type to Reschedule to flag this as a follow-up visit (other available types are Ad Hoc and Inspection).
- Leave the Linked job field empty for a standalone follow-up, or select a job to link it.
- Select Assign Workers and choose the worker(s).
- (Optional) Add Shift To-Do’s for visit-specific tasks.
- Select Confirm Shift.
What Happens Next
The follow-up visit is saved against the job (or as a standalone schedule entry) and appears on the Schedule board, on the dashboard schedule stream, and — where notifications are enabled — in the assigned worker’s email.
