Overview
A multi-day schedule block books a single piece of work across several days — for example a three-day renovation visit on the same site. Recurring shifts let you set the same booking up across a regular cadence. Both are useful for longer site work and standing arrangements that would otherwise mean creating individual shifts one by one.
Who This Workflow Is For
This workflow applies to Admin, Business Owner, and Supervisor.
Before You Start
The job needs to exist. Have the date range (multi-day) or the cadence and end date (recurring), the start and end times per day, and the worker(s) ready. Note that Admin and Finance cannot be selected as shift assignees.
Step-by-Step Process
Create a multi-day schedule block
- Open the Schedule page, or the job’s Schedule card.
- Select New Shift (or Add on the job’s Schedule card).
- In the shift creation form, choose the option to create a multi-day block:
- Enter the start date.
- Enter the end date.
- Enter the daily start time and end time.
- Select the shift type for the block.
- Open Assign Workers and select the worker(s) covering the block. You can assign more than one worker.
- Add Shift To-Do’s if needed — these apply to each day in the block.
- Select Confirm Shift. MyApprentice creates a shift for each day in the range, linked to the job, and visible on the Schedule board.
Create recurring shifts
- Open the Schedule page, or the job’s Schedule card.
- Select New Shift and complete the date, start time, end time, shift type, and assigned worker fields as you would for a one-off.
- Choose the recurrence option (where available) and enter the cadence (for example weekly on a chosen day) and the recurrence end date.
- Confirm. MyApprentice creates the shifts across the cadence, all linked to the job.
What Happens Next
Each day’s shift appears on the Schedule board and on the assigned worker’s dashboard. Workers can clock in and out per day. Any edit you make to a single day’s shift only affects that day; to change the whole block, edit each day separately or delete and recreate the block as needed.
Common Issues
- Cannot create the block for one of the dates. Confirm the worker’s availability and that no other shift clashes. The Schedule board’s All view helps spot conflicts.
- Block partially missing in the Day view. Step through each day in the Day view — multi-day blocks render per day rather than as a single bar.
- Want to skip a day in the block. Create the block, then open the day to skip and delete that day’s shift only.
- Admin or Finance not in the assignee list. This is by design — Admin and Finance cannot be shift assignees.
- Worker did not get notifications for every day. Email notifications fire per shift. If the worker missed one, ask them to refresh their dashboard. Reassigning the shift can re-trigger the notification.
