Edit, reassign, or delete a shift

Overview

Plans change. Use this article when you need to move a shift to a different date or time, hand it to a different worker, add another worker, or remove the shift entirely. All edits happen from the shift detail panel, which can be reached from the Schedule page, the Dashboard job card, or the job’s Schedule card.

Who This Workflow Is For

This workflow applies to the Business Owner, Sole Trader, Admin, and Supervisor.

Before You Start

Open the shift you need to change. If you are reassigning, decide which worker should take it (and note that Admin and Finance cannot be shift assignees). If you are deleting, confirm whether the work is no longer needed or just needs to be moved — if it needs to move, edit the date and time rather than delete.

Step-by-Step Process

Edit the shift date or time

  1. Open the shift — from the Schedule page (Day/Week/Month view), the Dashboard job card, or the job’s Schedule card.
  2. In the shift detail panel, change the date, start time, and/or end time.
  3. Update any other fields that need to change — shift type, Shift To-Do’s, linked job.
  4. Select Save Shift.
  5. If the date, time, or location changed, the assigned worker(s) receive an update notification. Confirm the change with the assignee where appropriate.

Reassign a shift

  1. Open the shift from the Schedule page or the job card.
  2. Open Assign Workers.
  3. Remove the current worker if needed and select the new worker. You can also keep the original worker and add another — multiple workers are supported.
  4. Review the list, then select Save Shift (or Save). The new assignment is saved and the schedule board updates.
  5. The newly assigned worker(s) see the shift on their dashboard. The previously assigned worker (if removed) no longer sees the shift.

Reassign an unassigned shift

  1. Open the unassigned shift — it shows as Needs Worker on the Schedule board and in attention items.
  2. Open Assign Workers, select the required worker(s), and save.
  3. The unassigned status clears and the shift moves to the assigned worker’s view.

Delete a scheduled shift before work starts

  1. Open the shift from the Schedule page or job card.
  2. Select Delete shift.
  3. Confirm the deletion. The shift is removed from the schedule. The deleted record can be restored from Document History if needed — see Restore a deleted record.
  4. If a worker was assigned, let them know the shift has been removed so they know not to attend.

What Happens Next

Edited or reassigned shifts update the Schedule board immediately. Assigned workers see the latest shift on their dashboard. If notifications are enabled, the affected worker(s) receive update emails when a shift’s date, time, or location changes. Deleted shifts drop off active views; their record stays in Document History.

Common Issues

  • Admin or Finance not selectable in Assign Workers. This is by design — Admin and Finance cannot be shift assignees.
  • Worker still sees the old shift. Ask them to refresh their dashboard. The Schedule board updates immediately but the worker’s tab may need a reload to refresh.
  • Caution — in-progress shifts can be deleted. The platform does not prevent deletion of a shift that has clock-in records. Deleting a shift does not remove any timesheet entries already recorded — those remain on the worker’s timesheet attributed to the original shift. Confirm the shift status before deleting.
  • Need to restore a deleted shift. Open Document History → Deleted Items, filter by Schedules, find the shift, and restore — see Restore a deleted record.
  • Cannot reassign a shift that has timesheets attached. Confirm whether timesheet records (clock-in/clock-out) exist. Edit the timesheet record separately where needed — see Review and approve a timesheet.
