Overview
The Schedule board is the live view of everything booked across your business. It supports five views — Day, Week, Month, Team, and Person — so you can drill into a single day, plan the next fortnight, look across a whole month, or filter by who is doing what. Use it to confirm tomorrow is fully resourced, spot gaps, and find unassigned work.
Who This Workflow Is For
The full team-wide Schedule board is for the Business Owner, Sole Trader, Admin, and Supervisor. Tradies and Apprentices see the Schedule board scoped to their own assigned shifts only. Finance has read-only access where invoicing context requires it.
Before You Start
Decide what you are looking for — today’s coverage, the week ahead, a specific team member’s workload, or unassigned shifts. The board defaults to today; switch views as needed.
Step-by-Step Process
- In the left sidebar, select Schedule. The Schedule board opens.
- Choose the view you need:
- Day — every shift booked for a single day, hour by hour.
- Week — the week’s bookings across the team, day by day.
- Month — the month at a glance, useful for high-level planning.
- Team — group by team member to see each person’s bookings.
- All — every shift across every worker without grouping.
- Use the date control to step forward or backward through dates.
- Use any available filters — for example by client, job, or unassigned status — to narrow the view.
- Select any shift on the board to open the shift detail panel. From there you can:
- Review the shift details — date, time, job, client, assigned worker, Shift To-Do’s, notes.
- Reassign or edit the shift — see Edit, reassign, or delete a shift.
- Add or update Shift To-Do’s.
- Select an unassigned shift (shown as Needs Worker) to allocate a worker — open Assign Workers, select the required team member(s), and save.
What Happens Next
You have a clear picture of who is doing what and where the gaps are. From the board you can create new shifts (New Shift), reassign workers, and respond to unassigned-shift attention items. The board updates in real time as you and your team make changes.
Common Issues
- Tradie or Apprentice cannot see other shifts. This is by design — they see only their own assigned shifts. The full board is available to Business Owner, Admin, and Supervisor.
- Shift in the wrong slot. Open the shift and edit the date or time — see Edit, reassign, or delete a shift.
- Unassigned shifts not visible. Confirm the filters are not hiding them; switch to All view to see every shift on a given day, including unassigned ones.
- Need to schedule a new shift from the board. Select New Shift or click an empty time slot, complete the shift details, assign the worker(s), and confirm.
