Overview
A job is the unit of billable work for a client. As a Supervisor you can create a job manually (for work taken in by phone or smaller tasks that do not need a formal quote) or convert an accepted quote into a job. The job carries the client, scope, materials, Job To-Do’s, and internal notes — and gives the structure for scheduling shifts and completing the work.
Who This Workflow Is For
The Supervisor role. The Business Owner and Admin can also create jobs. Finance can create jobs through their invoicing scope. Tradies and Apprentices cannot create jobs.
Before You Start
Have the client details, site location, and a description of the work. If converting an accepted quote, the quote must be in Client Accepted status.
Step-by-Step Process
Create a job manually
- In the left sidebar, select Jobs. Stat cards show pipeline counts.
- Select Add Job.
- Enter the Job title.
- Enter the Location.
- (Optional) Enter the Job description.
- (Optional) Link an existing quote — select Add quote, search, select.
- Add or select the client via the Client details box. Create a new client inline if needed.
- (Optional) Add materials via Add materials.
- (Optional) Add Job To-Do’s — see Add Shift To-Do’s (task instructions for workers) for shift-level tasks.
- (Optional) Add Internal job notes — see Add internal notes to a job.
- (Optional) Schedule a shift now via the Schedule card. You can assign yourself, another Supervisor, the Business Owner, a Tradie, or an Apprentice (Admin and Finance cannot be assigned).
- Select Create Job.
Create a job from an accepted quote
- Open Quotes / Invoices from the sidebar.
- Find the quote marked Client Accepted.
- Open the accepted quote.
- Select Accept & Create Job.
- Choose Create New Job for new work, or Add to Existing Job for additional work or a variation.
- Enter the job description, add Job To-Do’s, add a schedule if needed.
- Select Accept and Create Job.
- If the Client Portal sharing prompt appears, choose what to share with the client (or skip).
What Happens Next
The job appears on the Jobs page. From here:
- Assign a worker to a shift.
- Add Shift To-Do’s.
- Share job details with a client.
- When work is done, Complete a job.
Common Issues
- Cannot find Add Job. Confirm your role — Supervisor, Business Owner, and Admin can create jobs.
- Cannot delete a job. Job deletion is Business Owner only. Ask the Business Owner if a job needs to be removed.
- Materials missing from the library. Add materials first via the Materials page.
- Cannot assign Admin or Finance to a shift. By design — Admin and Finance are non-schedulable.
