Business Owners, Sole Traders, Admin, Supervisor, and Finance. Tradies can view quotes for jobs they are assigned to (read-only). Apprentices have no quote access.
Overview
Build a priced proposal — client, scope, line items, materials, labour, totals — and send it to the client.
Before you start
The client should already exist (or you can add them inline). Your business profile, payment terms, quote validity, and logo should be set.
Steps
- Open Quotes from the sidebar, or use the Create Quote quick action on the dashboard.
- Select Create Quote.
- Enter or select the Client Name (selecting an existing client auto-fills their details).
- Enter or confirm the Client Email, Client Phone, and Project Address.
- Enter the quote Description.
- Review the Issue Date and Expiry Date (defaults to your validity setting).
- (Optional) Select Link to Job if the quote relates to an existing job.
- Add line items, materials, and labour as required. Subtotal, GST, and total recalculate as you go.
- Choose Save as Draft to keep working on it, or Save & Send to email it now.
- If sending, review the recipient, subject, and email body, then send.
What happens next
The quote moves to Sent status. With the Client Portal on, the client gets an email with a portal link to view and accept online; with the portal off, they receive the quote as a PDF and accept by email reply. Track the lifecycle: Draft → Sent → Client Accepted → Job → Invoiced.
