Assign Workers to a Shift

Overview

Allocate one or more team members to an existing shift, or change who is assigned. Multiple workers can be assigned to the same shift.

Before you start

The shift must exist. The worker must be active in your Users list. Admin and Finance roles cannot be selected as shift workers. Removing all assigned workers without selecting a replacement returns the shift to Needs Worker state and re-triggers the unassigned-shift attention item.

Steps

From the Schedule board (unassigned or “Needs Worker” shift)

  1. Open Schedule in the sidebar.
  2. Locate the shift — unassigned shifts are marked Needs Worker.
  3. Click the shift to open the detail panel.
  4. Select the Assigned Worker field (or Assign Workers) and tick the worker(s) you want to assign.
  5. Select Save or Save Shift.

From the job card

  1. Open the job and scroll to the Schedule card.
  2. Click the shift to open the detail pop-out.
  3. Tick the additional worker(s) in the Assigned Worker field.
  4. Select Save or Confirm Shift.

What happens next

Each assigned worker receives an email notification and sees the shift on their own dashboard. To check availability before assigning, use Choose on Board when creating the shift — see Schedule a shift.

Timesheet caveat: reassigning a shift that already has clock-in records does not move those timesheet entries to the new worker — they stay attributed to the original worker. Review the timesheet records after reassignment if needed — see Correct a Timesheet After Shift Deletion or Reassignment.
