Scheduling Day-to-Day

Schedule your own shift (optional)

Who can do this?

  • The Office Admin · Office Admins
  • The Boss · Business Owners
  • One-Person Show · Sole Traders
  • The Foreman · Supervisors

Overview

Putting work into the schedule is optional for a Sole Trader. You can do it for your own visibility — to see today/this week/this month on the schedule board — even though there is no one else to dispatch to. A schedule also gives you a shift card to clock into and out of and to attach Shift To-Do’s, notes, and photos.

Who This Workflow Is For

The Sole Trader role.

Before You Start

The job needs to exist. Have the date, start/end times, and any visit-specific to-dos ready.

Step-by-Step Process

  1. Open the Schedule page from the sidebar, or open the job’s Schedule card from the Jobs page.
  2. Select New Shift (or Add).
  3. Enter the date, start time, and end time.
  4. Select the shift type (Ad Hoc, Inspection, Reschedule).
  5. Open Assign Workers and select yourself.
  6. (Optional) Add Shift To-Do’s — visit-specific tasks.
  7. Select Confirm Shift. The shift appears on the Schedule board linked to the job.

Multi-day or recurring shifts

To book work across several days or set up a recurring booking, use the multi-day option on the shift form (start date, end date, daily times) or the recurrence option (cadence and recurrence end date). MyApprentice creates a shift for each day in the range.

Schedule board views

Open Schedule in the sidebar. Switch between Day, Week, Month, Team (less useful for a Sole Trader), and All views.

What Happens Next

The shift is on your schedule. On the day, Do the work and record it — open the shift card, clock in, work through Shift To-Do’s, upload photos, leave notes, clock out.

You can edit, reassign (less relevant for a Sole Trader), or delete a shift from the shift detail panel.

Common Issues

  • Cannot find Add Shift. Open the Schedule page or the job’s Schedule card.
  • Shift overlap. Use the All or Day view to spot overlaps before booking.
  • Want to skip a day in a multi-day block. Open that day’s shift and delete it.
  • Need to restore a deleted shift. Restore from Document History → Deleted Items.
