Create an Unassigned Shift

Who can do this?

  • The Office Admin · Office Admins

  • The Foreman · Supervisors

Overview

How to book a shift on the schedule without yet assigning a worker — useful when team availability is still being confirmed.

Who This Is For

Business Owner, Admin, and Supervisor (team businesses scheduling work before knowing the worker).

Sole Trader note: Sole Traders can create an unassigned shift to hold a slot, but normally assign themselves as the worker at creation. See Schedule your own shift (optional).

Before You Start

  • The job you are scheduling against must already exist (unless your business creates standalone schedule entries directly from the calendar).
  • You want to hold the time slot now and decide on the worker later.

Steps

  1. Open the job from the Jobs page, the Dashboard job card, or the Schedule page.
  2. Scroll to the Schedule section and select Add.
  3. Use Fast Schedule to set the date, start time, and end time, or pick a slot directly from the schedule board.
  4. (Optional) Select the shift type.
  5. Leave the Assign Workers field empty — do not select a worker yet.
  6. (Optional) Add Shift To-Do’s for visit-specific tasks.
  7. Select Confirm Shift.

What Happens Next

The shift saves as Needs Worker and appears on the Schedule board with a Needs Worker badge. It is also surfaced on the Dashboard’s Needs Your Attention panel under Schedules → Unassigned shift. A Business Owner, Sole Trader, Admin, or Supervisor can return at any time to assign a worker — see Assign Workers to a Shift.
