Overview
A manual timesheet entry lets you add time you forgot to clock for, or fix an entry that’s wrong. Use this when you forgot to clock in/out, did travel time, or had work outside the normal schedule (a short emergency call, for example).
Who This Workflow Is For
This workflow applies to Apprentice and Tradie.
Before You Start
Know the date, the work or travel time you need to add, and the job the time belongs to.
Step-by-Step Process
- In the left sidebar, select Timesheets.
- Open the relevant week.
- Select the day where the time was worked.
- Select Add entry (or Manual entry).
- Choose the entry type:
- Work — time spent doing the job.
- Travel — time spent driving to or from site.
- Enter the time:
- Hours mode — enter the total hours for the day.
- Start and end times mode — enter the start time and end time. Your Business Owner sets the entry mode on Business Settings → Site.
- Allocate the entry to a job — choose the job from the dropdown.
- (Optional) Add a note explaining the entry (for example “Forgot to clock in for the morning visit”).
- Save the entry. It appears on the timesheet for the day.
What Happens Next
The manual entry is part of your timesheet for the week. Submit the week as usual — see Submit your timesheet. Your Supervisor reviews the manual entry as part of the approval; they may ask for more detail in the note if it is not clear.
Common Issues
- Cannot find the job in the dropdown. Confirm you are assigned to that job. If not, ask your Supervisor to either assign you or to create the entry on your behalf.
- Entry mode does not match what you want. The Business Owner sets Hours vs Start-and-end-times on Business Settings → Site. Speak to them if the mode does not suit your workflow.
- Forgot to clock in on a previous week. You can still add a manual entry to a previous week if it is unsubmitted or unapproved. If it has already been approved and payroll has run, your Supervisor handles the correction outside MyApprentice.
- Travel time not appearing. Confirm you chose Travel as the entry type. Some businesses do not track travel separately; check with your Supervisor.
