Overview
Use this article when the date, time, shift type, or other shift details need to change. All edits happen from the shift detail panel, reached from the Schedule page, the Dashboard, or the job card. Where date, time, or location change, the assigned worker(s) receive an update notification.
Who This Workflow Is For
The Supervisor role. The Business Owner and Admin can also edit shifts. Tradies and Apprentices can edit notes and to-do completion on their own assigned shifts but cannot change date, time, or assignment.
Before You Start
Know what needs to change. If the worker is changing, see Reassign a shift instead. If the work is no longer needed, see Delete a scheduled shift.
Step-by-Step Process
- Open the shift from the Schedule page (Day/Week/Month view), the Dashboard, or the job’s Schedule card.
- In the shift detail panel, change the relevant fields:
- Date
- Start time and End time
- Shift type (Ad Hoc, Inspection, Reschedule)
- Linked job (rare — usually leave unchanged)
- Shift To-Do’s
- Notes
- Select Save Shift.
- The schedule board updates with the new details.
- If you changed date, time, or location, the assigned worker(s) receive an update notification (where notifications are enabled). Confirm the change with them by your usual comms.
What Happens Next
The shift reflects the new details immediately. The assigned worker’s dashboard updates. Live status (clock-in / clock-out) is preserved for shifts already in progress — change with care for shifts that are already partly executed.
Common Issues
- Worker still sees the old shift. Ask them to refresh their dashboard.
- Editing an in-progress shift can affect timesheet entries. If clock-in records exist, edits to date/time may not retroactively update timesheet times. Review the worker’s timesheet after editing — see Correct Timesheets After Shift Reassignment.
- Cannot find Save. Confirm you have actually changed a field. If nothing is different, Save may not be active.
- Need to change the worker. Use Reassign a shift.
- Need to remove the shift. Use Delete a scheduled shift.
