Overview
Reassign a shift when a worker is unavailable, workload needs rebalancing, or you need to add another worker to the same shift. As a Supervisor you can reassign at any time from the shift detail panel. Multiple workers can be assigned to the same shift.
Who This Workflow Is For
The Supervisor role. The Business Owner and Admin can also reassign shifts. Admin and Finance cannot be selected as the new assignee — only Business Owner, Supervisor, Tradie, and Apprentice can be a shift worker.
Before You Start
Open the shift. Decide who is taking over (or being added). Confirm the new worker is available.
Step-by-Step Process
- Open the shift from the Schedule page, the Dashboard, or the job card.
- Open Assign Workers on the shift detail panel.
- Adjust the assignment:
- Replace the worker — remove the current worker and select the new one.
- Add a worker — keep the current worker(s) and select the additional one. Multiple workers are supported.
- Reassign an unassigned shift — select the worker(s) on a shift showing Needs Worker.
- Review the selected list.
- Select Save Shift (or Save). The new assignment is saved.
- The schedule board updates. The newly assigned worker(s) see the shift on their dashboard and (where notifications are enabled) receive an email. The previously assigned worker (if removed) no longer sees the shift.
What Happens Next
Work continues with the new assignment. If clock-in records exist for the previous worker, those remain on the timesheet record — review timesheets to confirm the right names are recorded against the work.
Common Issues
- Admin or Finance not selectable. By design — Admin and Finance are non-schedulable.
- Worker still sees the old shift. Ask them to refresh their dashboard.
- Need to keep both workers. Add the second worker rather than replacing — multiple workers are supported.
- Cannot reassign a shift in progress. Some shifts that are already in progress may have constraints (clock-in records). Complete or cancel the in-progress part first, or edit timesheet records separately.
