Overview

Photos and evidence — before/after shots, signed paperwork, installation photos — save against the shift and become part of the job record. Use them to document the work as it happens and to back up your notes.

Who This Workflow Is For

The Tradie role on their own assigned shifts. Apprentices follow the same process. Supervisors and Business Owners can also upload photos against any shift.

Before You Start

You need to be on a shift assigned to you. Take the photos on your device (phone or tablet) and have them ready to upload.

Step-by-Step Process

  1. Open the shift card from the Dashboard schedule stream.
  2. Locate the photos or evidence section on the shift detail panel.
  3. Select Upload photo (or the equivalent on your build).
  4. Choose the photo(s) from your device.
  5. Wait for the upload to complete. Each photo saves against the shift with a timestamp and your name. 5a. Select a categoryBefore, After, Progress, Issue, Compliance, or Other. The category helps the office team find the right photos when reviewing the job. 5b. (Optional) Add a caption describing what the photo shows.
  6. Repeat for additional photos.
  7. Each photo has a Share with Client toggle below the caption field. Leave it off (the default) to keep the photo internal. Turn it on only if your Supervisor has told you to share that specific photo with the client. The office team can also share photos later from the job card.

What Happens Next

The photos appear on the shift card. They are visible to the office team and to the next worker on the same job (if any). The Business Owner / Admin / Supervisor decide which photos (if any) to share with the client through the Client Portal.

Common Issues

  • Upload failed. Check your connection. Smaller files upload faster on poor sites. Retry once a stronger signal is available.
  • Photo too large. Reduce the resolution on your phone camera settings or use the device’s compression option before uploading.
  • Wrong shift. Photos attach to the shift you uploaded from. If a photo went to the wrong shift, ask your Supervisor to move or remove it.
  • Photos missing on the client portal. The office team controls what is shared with the client. By default photos may be internal-only.
  • Apprentice cannot share a photo and you can. Apprentices may have the Share with Client toggle restricted by role permissions. Ask your Supervisor.
