Editing Your Assigned Shift Card — What You Can and Cannot Change

What This Feature Does

When a shift is assigned to you in MyApprentice, you see it on your Dashboard. From your assigned shift card you can complete the actions that need to happen during the work itself — clocking in, clocking out, adding notes and photos, ticking off shift to-dos, and marking the shift complete. Management-level changes (rescheduling, reassigning, or changing job details) sit with Business Owners and Supervisors.

Who Uses This Feature

  • Tradies and Apprentices complete in-shift actions on shifts assigned to them.
  • Sole Traders see the same shift-card actions on their own scheduled work.
  • Business Owners and Supervisors can view all current jobs and edit/change details through their management views, including the ability to edit an employee’s shift card directly.

When To Use It

  • You are about to start a shift and need to clock in.
  • You are on site and want to add a note or photo, or tick a shift to-do.
  • You have finished the shift and need to mark it complete.
  • You think a shift detail needs to change (time, job, assignee) — see Notes and Limitations below.

How It Works

  1. Log in to MyApprentice and open the Dashboard.
  2. Locate the shift that is assigned to you on the schedule or in the schedule stream.
  3. Select the assigned shift card.
  4. Complete the actions you are permitted to action — for example:
    • Clock In / Clock Out
    • Add Note (shift note or internal note where permitted)
    • Add Photo (with internal-vs-share toggle — see Uploading Photos on a Shift)
    • Tick Shift To-Do items
    • Mark Complete for the shift
  5. Select Save, Confirm, or the relevant action button.

What you cannot change from your own shift card

As an assigned worker on a shift, you cannot:

  • Reschedule the shift (change date or time).
  • Reassign the shift to another worker.
  • Change the linked job’s description.
  • Delete the shift.
  • Change client contact details.

These are management-level changes — ask your Business Owner or Supervisor if any of these need to happen.

Notes and Limitations

  • Visibility: employees only see shifts and jobs allocated to them on the Dashboard.
  • Editable actions: the actions available on your shift card depend on your role and on the business’s role-based permissions.
  • Management changes: rescheduling, reassigning, or changing job-level details is done by a Business Owner or Supervisor through Jobs or Schedule. Ask them if a change is needed that you cannot make yourself.
  • Owner / Supervisor override: Business Owners and Supervisors can edit an employee’s shift card directly — confirmed.
  • Sole Trader note: as a Sole Trader you see the same shift-card actions as Teams users.
