Overview

This guide is for new team members — Tradies and Apprentices — who have been invited to join a business on MyApprentice. It covers accepting your invitation, setting up MFA, finding your dashboard, and locating your first assigned shift.

How the feature works

Step 1 — Accept your invitation

You will receive an invitation email from MyApprentice at the address your Business Owner (or an Admin user) used to invite you.

  1. Open the invitation email.
  2. Select Accept Invitation.
  3. You will land on the MyApprentice onboarding screen in your browser.
  4. Enter your first name and last name.
  5. Create a password, or sign in using Google, Microsoft, or Apple if you prefer (see Signing in with Google, Microsoft, or Apple).
  6. Select Continue.

If the email has not arrived within a few minutes, check your junk or spam folder. If it is still missing, ask your Business Owner to resend the invitation from the Users page.

Step 2 — Complete your account setup (MFA)

After creating your account, MyApprentice requires you to set up a secure authentication method (MFA). This protects your account and is mandatory.

MFA options:

PasskeyCreates a secure key linked to your device (Face ID, fingerprint, or device PIN). Recommended — fast and secure.
Authenticator AppLinks MyApprentice to an app on your phone (Google Authenticator, Microsoft Authenticator). Generates a time-based code you enter at login.
Phone ApprovalSends a notification to your phone that you approve to complete login.
  1. After creating your account, the Secure Your Account screen opens automatically.
  2. Select your preferred MFA method.
  3. Follow the on-screen instructions.
  4. Once MFA is configured, select Continue or Finish.
  5. You are taken to your role-based dashboard.

You will need to complete MFA every time you log in.

Step 3 — Navigate your dashboard

As a Tradie or Apprentice, your dashboard is personalised to your work — not the whole business. You will not see other workers’ schedules or business-level financial data.

If you are an Apprentice, some actions visible to Tradies may be restricted. You can usually view job details and shift information but may not be able to create jobs, raise quotes, or access invoicing.

Step 4 — Find your assigned shifts

From the dashboard, your upcoming shifts appear in the schedule section. Each shift card shows the job name and location, date, start and end time, any Shift To-Do’s, and internal notes from your Business Owner or Supervisor.

From the Schedule page:

  1. Open Schedule in the sidebar. As a Tradie or Apprentice, you see only your own assigned shifts here — not the whole team.
  2. Use Day or Week view to review upcoming work.
  3. Click a shift to open the full shift detail — including job context, client address, and shift instructions.

When you receive a shift notification:

  1. Open the email notification from MyApprentice.
  2. Review date, time, and location.
  3. Select the link in the email to open the shift in the app, or log in and navigate to your dashboard.
  4. Review the shift card for Shift To-Do’s and internal instructions.
  5. When you are on site, clock in to the shift from your shift card.

Role-specific notes

  • Tradie: full shift execution access — clock in/out, notes, photos, Shift To-Do’s, mark shift complete.
  • Apprentice: can view assigned shifts and complete basic tasks; restricted from creating jobs, raising quotes, or accessing invoicing by default.

Important notes

  • If your shift does not appear on your dashboard, confirm with your Business Owner that the shift has been assigned to you and saved.
  • If you cannot log in, confirm you are using the email address your invitation was sent to. Reset your password from the login screen if needed.
  • If your MFA code is not working, confirm your device clock is correct (codes are time-sensitive).
