Doing the Work on Your Shift

Overview

When you are the worker on the ground, your assigned shift card on the dashboard is the place you live in for the day. It has everything you need: the site address and map, job and shift notes, the materials list, the Shift To-Do checklist, the clock-in / clock-out buttons, and the option to upload photos as evidence.

Who uses this feature

Tradies and Apprentices are the primary users. Supervisors and Sole Traders also use shift cards when delivering work. Business Owners can use shift cards on jobs they personally attend.

When to use this feature

Use this every working day:

  • Before you leave for site — to review the job context and materials.
  • When you arrive on site — to clock in.
  • During the shift — to record notes, tick off tasks, and capture photos.
  • When you finish — to clock out and mark the shift complete.

What you can do with this feature

  • Open your assigned shift card from the dashboard or schedule.
  • See client and location details, with a map link to the site.
  • Review job notes, shift notes, and the materials list.
  • Tick off Shift To-Do’s.
  • Clock in and clock out.
  • Add internal notes about the shift.
  • Upload photos as Before / After / Progress / Issue / Compliance / Other evidence.
  • Mark the shift complete.

How the feature works

Open your assigned shift card

  1. Open the Dashboard.
  2. Locate the assigned shift in the schedule stream.
  3. Select the shift card.

The shift card shows everything you need for the visit.

Review client and location details

  1. Open the shift card.
  2. Review the Client Details section and the site address.
  3. Select the map or location link if you need directions.

Review job notes, shift notes, and materials

Scroll the shift card to see:

  • Job Notes — overall job context and instructions.
  • Shift Notes — instructions specific to this shift.
  • Materials or Items linked to the job.
  • Shift To-Do’s — your checklist for the visit.

Clock in at the start of the day

Clock behaviour follows the Timesheet entry mode set in Business Settings → Site. Hours mode hides the clock controls and uses manual hours entry instead; Start-and-end-times mode shows the Clock in and Clock out buttons described below.

  1. Open your assigned shift from the dashboard or schedule.
  2. Select Clock in.
  3. Confirm the action if prompted.

The shift card turns light green to show the active state. Your clock-in time is recorded and feeds the timesheet automatically.

Clock out at the end of the day

  1. Open the shift detail again.
  2. Select Clock out.
  3. Confirm if prompted.

Your clock-out time is added to the timesheet and the shift status updates.

Tick off the Shift To-Do checklist

  1. Open the shift card.
  2. Scroll to Shift To-Do’s.
  3. Tick each task as you complete it. Completed items are visually distinguished.

Add an internal shift or job note

  1. Scroll to Internal Notes on the job or shift card.
  2. Click into the text box and type the note (for example, what was completed, issues encountered, follow-up required).
  3. Select Add Note, then Save.

Notes are not retained until both Add Note and Save have been selected.

Upload a photo (evidence)

  1. Open the job card or shift card.
  2. Select Add Photo.
  3. Choose the image from your device.
  4. When upload completes, select the category — Before, After, Progress, Issue, Compliance, or Other.
  5. Enter a caption describing what the photo shows.
  6. Toggle Share with Client on only if the photo should be visible to the client.
  7. Select Close, then Save.

All photos for the job are collated together whether they were uploaded from the job card or the shift card. Photos remain internal by default.

Mark the shift complete

  1. Open the assigned shift from the dashboard or schedule.
  2. Review tasks, notes, and any evidence requirements.
  3. Select Mark Complete.
  4. Add an evidence photo if required.
  5. Save or confirm the completion action.

Completing a shift does not complete the overall job — job completion happens separately at the job level. Material usage confirmation does not appear during shift completion — it is presented only when the whole job is completed. See Creating and Managing Jobs.

Role-specific notes

  • Tradie: full shift execution access. Can clock in/out, tick to-dos, add shift notes, upload photos, and mark the shift complete.
  • Apprentice: can view shift details, clock in/out, tick to-dos. Some create or edit actions may be restricted by default.
  • Supervisor / Sole Trader: can complete shifts and use the shift card directly when delivering work.
  • Business Owner: can use shift cards on jobs they attend, in addition to their full management view.
  • Finance: does not clock in/out.
  • Scheduling Work
  • Allocating Workers (Dispatch)
  • Recording, Submitting, and Approving Timesheets
  • Creating and Managing Jobs

Important notes

  • Notes only save when both Add Note and Save are selected.
  • The Share with Client toggle controls whether the photo appears in the Client Portal — leave it off if the photo is internal.
  • If your shift does not appear on your dashboard, ask your Business Owner or Supervisor to confirm you are assigned to it.
