On-Site Work Day-to-Day

What to do when your work is complete

Who can do this?

  • Learning the Ropes · Apprentices

Overview

At the end of your shift, you need to leave the shift card in a clear state so your Tradie, Supervisor, and the office team know what happened. Tick off Shift To-Do’s, upload photos, add a note if needed, clock out, and submit your timesheet at the end of the week. Your Supervisor or Business Owner finalises the shift and the job overall — your part is to indicate your work is done.

Who This Workflow Is For

The Apprentice role on your own assigned shifts. Tradies follow a similar process.

Before You Start

You have been working through the shift, clocked in at the start, and the on-site tasks are now done (or as done as they can be at this visit — if not, see What to do if your work is missing or not visible).

Step-by-Step Process

  1. Open the shift card from the Dashboard schedule stream.
  2. Tick each completed Shift To-Do item. MyApprentice records the completion time and you against each item.
  3. Upload photos of the completed work — see Add photos.
  4. Add a final note if anything happened on site the office or your Tradie should know about — for example “Client asked about extending scope”, “Used spare blue cable from van” — see Add notes.
  5. Clock out when you finish on site. The timesheet entry for the shift is closed. Clocking out is separate from marking the shift complete — if you cannot finish the work, you still clock out so your time on site is captured, but you leave the shift open. See What to do if your work is missing or not visible.
  6. Check with your Tradie or Supervisor before leaving site that nothing has been missed.
  7. At the end of the working week, open Timesheets and submit the week — see Record your time.

What Happens Next

Your part of the shift is done. Your Supervisor or Business Owner finalises the shift in MyApprentice as the next step. They complete the job overall once all visits are done; from there the office team raises the invoice.

If you marked the shift complete and then realised something needs to change, tell your Supervisor — they can reopen things if needed.

Common Issues

  • A Shift To-Do does not apply. Add a note explaining and leave it unticked. Your Tradie or Supervisor can adjust if needed.
  • Cannot mark every item complete. If the work could not be finished, do not force-tick — see What to do if your work is missing or not visible.
  • Forgot to clock out. Open the shift card and select Clock out. If you have already left site, add a manual timesheet entry — see Create a manual timesheet entry.
  • Job is not closed. That is intentional — finalising the job is your Supervisor’s or Business Owner’s action; you only complete your shift work.
