Overview
As an Apprentice you have a tight, assigned-only view of MyApprentice. If you cannot see a shift, a job, a client, or a quote you expected — or if you cannot perform an action you thought you could — it is almost always because the record belongs to someone else, or because the action sits with a more senior role. This article walks through the common scenarios and tells you who to ask.
Who This Workflow Is For
The Apprentice role. The same situations can affect Tradies; the steps and escalation paths are similar.
Before You Start
You are signed in, and something you expected to see or do is missing or blocked. Note the specific thing — the shift, the job, the button you cannot find — before you ask.
Step-by-Step Process
Cannot see today’s shift
- Refresh the Dashboard. The schedule stream updates in real time but a stale tab may not refresh.
- Confirm with your Supervisor that the shift was assigned to you. Apprentices only see shifts where they are assigned.
- If the Supervisor assigned someone else, ask them whether you should be added.
Cannot see a job you expected to see
- You only see jobs you are assigned to a shift on. If you are on a related shift, the job should be visible from the shift card.
- Ask your Supervisor to confirm the job and your assignment.
Cannot see a client
- You see client records only where the client is linked to a job you are assigned to.
- If you need the client name or contact details and cannot see them, ask your Tradie or Supervisor.
Cannot see a quote
- Apprentices have no quote access. Even quotes attached to a job you are assigned to are not visible to Apprentices.
- Ask your Supervisor or Tradie for any scope/pricing detail you need from a quote.
Cannot find Mark as Paid, Push to Xero, Send a quote, Send an invoice, Share with client
- These actions sit with the office team — Business Owner, Admin, Supervisor, or Finance. Apprentices cannot perform them.
- Tell your Supervisor what is needed and they will action it.
Cannot see Document History or Business Settings
- Document History is Business Owner only.
- Business Settings is Business Owner or Admin (Finance has Xero-only access).
- Ask the relevant role.
Cannot mark a job complete
- Only Business Owner and Supervisor can finalise a job. Apprentices and Tradies indicate their shift work is done; the higher-level job finalisation is your Supervisor’s action.

Cannot see other people’s timesheets
- Apprentices see and edit only their own timesheets. This is by design.
What Happens Next
Ask the right role for what you need. Most “missing” scenarios are about the role boundary, not a bug. If your Supervisor or another senior role confirms the action should be available to you and it is not, ask them to raise it with the Business Owner.
Common Issues
- Already asked and still not visible. Confirm the assignment with your Supervisor explicitly — they manage who sees what.
- Could not see anything for an hour. Sign out and back in. If still no access, contact your Supervisor.
- Sign-in problems. Use Forgot password on the login screen. If MFA was set up on a device you no longer have, use the same Forgot password path — you will be asked to set MFA up again on next login.
