Who this guide is for
Business Owners, Sole Traders, and Admin users setting MyApprentice up for the first time. Other team members (Supervisor, Finance, Tradie, Apprentice) join through an invitation — see Accept Your Invitation and Join the Business.
Overview
Understand what MyApprentice is, what you can do with it, and the order to follow through your first week so quoting, scheduling, and invoicing all hang together.
Before you start
Have your business name, a work email you can verify, your ABN, and an idea of your service type ready. The first MyApprentice user is always the Business Owner or Sole Trader — team members are added afterwards via Accept Your Invitation and Join the Business.
Steps
- Sign up for MyApprentice and verify your email. See Sign Up and Verify Your Email.
- Decide whether to start in Demo mode (pre-filled sample records so you can explore) or Live mode (your real business). You switch from Demo to Live by selecting Start free trial during the demo, then completing the live sign-up flow — demo records are kept separate from live data. See Demo Mode and Switching to Live.
- Secure your account with MFA — the recommended method is the iOS app code via the MyApprentice iPhone app. See Set Up MFA on Your Account.
- Work through the seven mandatory + six recommended steps in the first-time business setup wizard. See Complete Your First-time Business Setup.
- Configure your business settings — timesheet mode, feature toggles, and any to-do templates. See Configure business settings.
- Upload your quote and invoice logo, then set payment methods and terms. See Upload your quote and invoice logo and Set payment methods and terms.
- Invite your team (if you have one) and assign roles. See Invite a team member.
- Add your first client, then create and send your first quote. See Add Your First Client and Create and send a quote.
- When the client accepts, turn the quote into a job, schedule the work, and invoice when it is done. See Turn an Accepted Quote into a Job, Schedule a shift, and Create Your First Invoice.
What happens next
By the end of your first week MyApprentice should hold your live business profile, your team, your first client and quote, and a job ready to schedule. From here, day-to-day work flows through the dashboard’s Needs Your Attention panel.
