This index lists every Help Centre article for the Sole Trader role, in the order you typically use them. Sole Trader is single-operator mode in MyApprentice — you do every step alone, from setup to invoicing.

Get set up

  1. Set up MFA (if you have not already) — Turn on multi-factor authentication.
  2. Set up OAuth sign-in — Use Google, Microsoft, or Apple to sign in.
  3. Set up your business — Walk through Business Settings end to end.
  4. Configure business settings — Site tab toggles and default to-do templates.
  5. Set payment methods and terms — Sales tab payment terms and methods.
  6. Upload your quote and invoice logo — Brand the PDFs you send.
  7. Set quote validity and reminder defaults — Validity period, reminders, and reply routing.
  8. Manage your subscription — Plan, billing, AI usage panel.

Take work in via the public enquiry form

  1. Set up the public enquiry form — Turn the form on and share the URL.
  2. Review and action an enquiry — Triage new enquiries.
  3. Convert an enquiry to a quote — Turn an accepted enquiry into a quote.

Run the dashboard

  1. Review your Needs Your Attention items — Daily action list and Quick Actions / Custom Tiles.

Manage clients

  1. Add a client — Add a new client record.
  2. Review and edit a client — Find a client and update details.
  3. Message a client — Use Messages for quote/job conversations.

Quote work

  1. Create and send a quote — Build and send a quote.
  2. Edit a quote — Update a quote with status-based rules, including expired.
  3. Record quote acceptance — Portal / email / manual acceptance.

Manage jobs

  1. Create a job once the quote is accepted — Convert accepted quote.
  2. Create a job manually — For work that did not start from a quote.
  3. Mark a job complete — Finalise a job ready for invoicing.

Schedule and do the work

  1. Schedule your own shift (optional) — Put work into the calendar if you want a schedule view.
  2. Do the work and record it — Clock in/out, ticking Shift To-Do’s, notes, and photos.

Invoice and get paid

  1. Create and send the invoice — Raise and send the invoice.
  2. Mark an invoice as paid — Record payment received.
  3. Push an invoice to Xero — Single push or Send all to Xero.

Xero

  1. Connect Xero (optional) — Link to your Xero organisation.

Materials and suppliers

  1. Create and manage materials — Build the materials library and adjust stock.
  2. Upload a supplier invoice — Capture supplier invoices and apply to inventory.

Document History

  1. Restore a deleted record — Bring back something deleted in error (and view Document History).

Manage your account

  1. Manage your own profile — Update your name, contact details, password.
