This index lists every Help Centre article written for the Admin role, in the order an Admin would typically use them. Use it as your map for running the back office — clients, jobs, quotes, invoices, suppliers, scheduling, and team admin — under the Admin guardrails.

Get set up
- Set up MFA — Turn on multi-factor authentication; required for sensitive actions.
- Recover access after MFA device loss — Get back in if you lose your MFA device.
- Set up OAuth sign-in — Sign in with Google, Microsoft, or Apple.
- Complete the business profile — Fill in the details that appear on every quote and invoice.
- Configure business settings — Walk through Business, Site, Sales, Integrations, Subscription, and Account.
- Set payment methods and terms — Choose payment methods and the default payment term.
- Upload the quote and invoice logo — Brand the PDFs you send to clients.
- Set quote validity and reminder defaults — Validity period, reminders, and reply routing.
- Review the subscription and billing — Plan, seats, billing history, AI usage panel.
Public enquiry form
- Set up the public enquiry form — Turn the form on and confirm the fields.
- Share or embed the enquiry form — Use the URL on social, email, or a website.
- Review and action an enquiry — Triage new enquiries.
- Convert an enquiry to a quote — Turn an accepted enquiry into a quote.
Dashboard
- Review your Needs Your Attention items — Daily action list.
- Customise the dashboard — Configure Quick Actions and Custom Tiles.
Clients
- Create a client — Add a new client record.
- Review and edit a client — Find a client and update details.
- Delete a client — Remove a client and restore from Document History if needed.
- Message a client — Use Messages for quote/job conversations.
Users / team
- Invite a team member — Send invites and assign roles.
- Edit a user or change a role — Update profile or change role (with Admin guardrails).
- Delete or restore a team user — Remove a user (cannot delete the Business Owner).
- Resend an invitation or handle a seat limit — Resend invites or free a seat.
Quotes
- Create and send a quote — Build and send a quote.
- Edit a quote — Update a quote with status-based rules.
- Record quote acceptance or rejection — Portal / email / manual acceptance.
- Handle an expired quote — Resend or refresh an expired quote.
Jobs
- Create a job from an accepted quote — Turn an accepted quote into a job.
- Create a job manually — Add a job that did not start from a quote.
- Add Job To-Do’s and internal notes — Brief the field team.
- Share job details with the client — Use the Client Portal.
Note: marking a job complete is not an Admin action — see Admin role guardrails.
Scheduling
- Schedule a shift — Book work into the calendar (Admin can schedule but cannot be a shift assignee).
- Edit, reassign, or delete a shift — Adjust the schedule as plans change.
- View the schedule board — Day / Week / Month / Team / All.
- Create multi-day or recurring shifts — Schedule longer or repeating bookings.
Invoicing
- Create an invoice — From an accepted quote, a completed job, or manually.
- Edit and send an invoice — Review and deliver an invoice.
- Mark an invoice as paid — Record payment received outside an integrated provider.
Note: deleting an invoice is not an Admin action — see Admin role guardrails.
Xero
- Connect Xero — Link your business to Xero.
- Push an invoice to Xero — Single push and Send all to Xero.
Timesheets
- Review and approve a timesheet — Approve submitted timesheets.
Note: Admin cannot export payroll and cannot clock in or out — see Admin role guardrails.
Materials and suppliers
- Create and manage materials — Build the materials library and adjust stock.
- Manage suppliers — Add and maintain supplier records.
- Upload a supplier invoice — Capture a supplier invoice and run AI extraction.
- Apply a supplier invoice to inventory — Match lines to materials and update stock.
